Scope of this Privacy Policy

Welcome to the mybiOSis ecosystem, including the mybiOSis Project websites (mybiosis.info, kladia.info, trillia.info or the “Website”), the Nature Digital Object Repository (NDOR), web applications, and mobile applications created by or for ecosystem partners.

These applications include, but are not limited to, LitterMapper, MacrophyteMapper, WaterBodyStructureMapper, NatRec, kladOS and related biodiversity or environmental data tools.

The mybiOSis ecosystem includes websites, web applications, databases and mobile applications developed, operated or distributed by different ecosystem partners, including MYNATURE Association , BIODIV.SYSTEMS S.R.L. ,, KLADIA.STUDIO S.R.L. and other project partners, depending on the application, project or service.

Web applications within kladOS, related websites and mobile applications may be created by, maintained by, or developed on behalf of the entities specified in their respective About, software information or application details sections.

The Website, web applications and mobile applications are offered subject to your acceptance of this Privacy Policy and the Terms and Conditions.

How we refer to the ecosystem

In this Privacy Policy, the projects and services available through the domains MYBIOSIS.INFO, KLADIA.INFO, TRILLIA.INFO, MYNATURE.NET, as well as associated mobile applications distributed through platforms such as Google Play or the Apple App Store, are collectively referred to as MYBIOSIS.INFO or the mybiOSis ecosystem.

This Privacy Policy explains how information may be collected, used and shared across MYBIOSIS.INFO websites, kladOS, NDOR and associated mobile applications. Specific websites, web applications and mobile applications may be operated, developed or distributed by different mybiOSis ecosystem partners, including MYNATURE Association , BIODIV.SYSTEMS S.R.L. , KLADIA.STUDIO S.R.L. and other project partners, depending on the application, project or service, as specified in the relevant application or software information.

It is important to understand that, by using any MYBIOSIS.INFO website, kladOS service, NDOR resource or associated mobile application, you consent to the collection, transfer, processing, storage, disclosure and use of your information as described in this Privacy Policy. Please read this Policy carefully.

Our approach to personal information

We believe that you should not have to provide unnecessary personal information in order to participate in our projects. You do not have to provide information such as your real name, home address or date of birth to sign up for an account or contribute content to the MYBIOSIS.INFO sites.

Although using your real name may help associate your contributions or posts with you, this is not required.

We do not sell or rent your non-public information, and we do not give it to others so they can sell you anything. We use information to understand how to make the MYBIOSIS.INFO projects more engaging and accessible, to see which ideas work, and to improve learning, contribution and collaboration.

In simple terms: we use this information to make the MYBIOSIS.INFO sites better for you.

Because everyone should be able to understand how and why information is collected and used, this Policy uses common language rather than unnecessarily formal terms where possible.

Information you provide when creating an account

With the exception of the LITE version of mybiOSis (https://kladia.info/lite), you are generally required to create an account to read or contribute to a MYBIOSIS.INFO site.

When you create an account, in most cases we require a name, a username, a password and an email address. Your username may be publicly visible, so please be careful if you use your real name as your username.

Your password is used only to verify that the account is yours. Your IP address is also automatically submitted to us and may be recorded temporarily to help prevent abuse.

No other personal information is required: no date of birth, credit card information, home address or similar information is needed to create a standard account.

You may also authenticate using your Facebook account. This authentication process is handled entirely by Facebook, and we are not involved in that authentication process.

User accounts and visibility

Once created, user accounts may not always be removable entirely, because contributions may need to remain associated with their author. Please choose a username that you will be comfortable with for a long time.

Requests to change usernames may not always be accepted, not because we do not want to help, but because such changes can involve significant work at database level.

Account visibility and data management options are described on the mybiOSis account and data deletion page.

Information related to your use of MYBIOSIS.INFO sites

We want to make the MYBIOSIS.INFO sites better for you by learning more about how you use them. For example, this may include how often you visit the sites, what you like, what you find helpful, how you reach the sites, and whether you would use a feature more if it were improved.

We also want this Policy and our practices to reflect our community values. For this reason, we keep information related to your use of the MYBIOSIS.INFO sites confidential, except as provided in this Policy.

Information we receive automatically

Because of how browsers work, and similar to other major websites, we may receive but not necessarily record some information automatically when you visit the MYBIOSIS.INFO sites.

This information may include the type of device you are using, possibly including unique device identification numbers for some beta versions of our mobile applications, the type and version of your browser, your browser language preference, the type and version of your device operating system, and the date and time of each request you make to the MYBIOSIS.INFO sites.

We may use this information to enhance your experience with MYBIOSIS.INFO sites. For example, we may use it to administer the sites, provide greater security, fight vandalism, optimize mobile applications, customize content and language preferences, test features, improve performance, understand how users interact with the sites, study feature use and analyze trends.

Common technologies and locally stored data

We may use common technologies to collect information about how you use MYBIOSIS.INFO projects. This information helps us improve the user experience and develop new features.

These technologies generally include JavaScript and locally stored data technologies, such as local storage. We understand that some technologies can be misused, so we want to be clear about why we use them and what type of information we collect with them.

We use this information to make your experience with MYBIOSIS.INFO sites safer and better, to better understand user preferences and interactions, and to improve our services.

We will never use third-party cookies unless we get your permission to do so. If you find a third-party data collection tool that has not been authorized by you, such as one mistakenly placed by another user or administrator, please report it to us.

How local storage and JavaScript help us

Locally stored data and JavaScript help us do things such as:

Email addresses

Your email address is kept confidential, except as provided in this Policy. We do not sell, rent or use your email address to advertise third-party products or services to you.

We use your email address to let you know about things that are happening within the MYBIOSIS.INFO sites and projects, such as important account information, changes to sites, projects or policies, and site activity notifications.

If you email us, we may keep your message, email address and any other information you provide so that we can process and respond to your request.

You can choose to limit some kinds of notifications, such as alerts when somebody likes your posts.

We will never ask for your password by email. If you ever receive such an email, please let us know so we can investigate its source.

Direct communications between users

Direct communications between users, such as messages sent through the “myChat” or “Forum” features, are kept confidential by us to the extent that such communications are non-public and stored in, or transmitted through, MYBIOSIS.INFO systems, except as provided in this Policy.

GPS and other location technologies

Some features we offer work better if we know what area you are in. It is up to you whether or not you want us to use geolocation tools to make such features available.

If you consent, we can use GPS and other commonly used location technologies to show you more relevant content. We keep information obtained through these technologies confidential, except as provided in this Policy.

GPS data is also used for recording the geographic position of organism observations. This information is stored with observation metadata and is only partially visible to other users unless you decide to share the information with other users or include the observation in research groups or projects within MYBIOSIS.INFO sites.

Sometimes we may automatically receive location data from your device. For example, if you upload a photo, the photo may include metadata such as the place and time it was taken.

Please be aware that, unlike location information collected using GPS signals as described above, the default settings on your mobile device may include metadata in photo or video uploads to MYBIOSIS.INFO sites. If you do not want metadata sent to us when uploading, please change the relevant settings on your device.

IP addresses

When you visit some MYBIOSIS.INFO sites, we automatically receive the IP address of the device, or proxy server, you use to access the Internet. This may be used to infer your geographical location.

We keep IP addresses confidential, except as provided in this Policy. We may use IP addresses for research and analytics, to better personalize content, notices and settings, to fight spam, identity theft, malware and other abuse, and to provide better mobile and other applications.

When we may share your information

We may share your information for a particular purpose, with your permission.

We may access, preserve or disclose your personal information if we reasonably believe it is necessary to satisfy a valid and legally enforceable warrant, subpoena, court order, law, regulation or other judicial or administrative order.

When possible, we are committed to notifying you by email at least ten (10) calendar days before disclosing your personal information in response to a legal demand.

However, we may only provide notice if we are not legally prevented from contacting you, if there is no credible threat to life or physical safety that would be created or increased by disclosure of the request, and if you have provided us with an email address.

How we protect your data

We strive to protect your information from unauthorized access, use or disclosure. We use a variety of physical and technical measures, policies and procedures, such as access control, network firewalls and physical security, designed to protect our systems and your personal information.

However, no data transmission or storage system is completely secure. We cannot guarantee that our security will never be breached, whether through technical means or through violation of policies and procedures.

Closing or freezing an account

Account visibility, data management and deletion options are described on the mybiOSis account and data deletion page.

Facebook information

For deleting your Facebook-related information from our systems, please contact us and we will remove the relevant information where applicable.
